Description

Provides secretarial and administrative support to Regional Office associates.

1. Provides secretarial and administrative support to Regional Office associates including composing memos or emails, document preparation, filing and mail distribution. Operates printer, fax machine or copier.

2. Monitors regional payroll budget for hourly associates and reports status to appropriate person.

3. Prepares expense reports, verifies invoices, codes to proper account and forwards to Accounts Payable for processing.

4. Provides a high level of customer service to internal and external customers and organizations.

5. Locates, gathers and researches information. Uses various PC software packages such as spreadsheets, word processing, graphics, etc. to prepare or produce presentations, reports, queries or other documents.

6. Schedules appointments and maintains and coordinates calendar for Regional Office including meetings, lunches, special events and conference calls. May also make travel arrangements.

7. Screens incoming phone calls to associates located in the Regional Office and directs call appropriately.

Qualifications

1. High school diploma or equivalent required. Three to five years of administrative/secretarial experience required. Previous bookkeeping and basic accounting skills required.

2. Excellent oral and written communication and organizational skills required.

3. PC experience including word processing, spreadsheets and email required.

4. Excellent customer service skills and ability to project a professional image required.

5. Must be able to maintain confidentiality at all times.

6. Ability to work under general supervision and make independent decisions within guidelines.

7. Requires continuous use of technical and business vocabulary and in-depth knowledge of company and store operations, organizational procedures and personnel.

8. Ability to prioritize and manage multiple projects.

9. May be required to travel for training.
