The Front Desk Receptionist is responsible for greeting patients and visitors to the office in a professional manner, and for coordination of check-in and check-out procedures. Performs clerical administrative support as assigned; answers telephone in a timely manner, provides customer service assistance, data processing, and maintains accurate record keeping.

Essential Functions

Greets incoming patients and visitors in a prompt, courteous, professional manner and notifies appropriate person of their arrival.
Greets and registers patients at arrival: completes check-in process by ensuring medical records are in the system, demographics and eligibility verified/updated, forms are completed, and members' pictures are in the system.
Answers phones and directs calls accordingly.
Receives the public and answers questions in person, by telephone; responds to inquiries from employees, citizens and others, and refers, when necessary, to the appropriate person, official or department.
Completes check-out process by scheduling return appointments, providing referral information as applicable, ensure lab requests are completed, and scheduling appointments with appropriate physicians.
Operates office machines as required.
Prepares outgoing mail; sorts and distributes incoming mail as needed.
Duplicates and distributes materials as needed.
Composes types and edits correspondence, reports, memoranda and other material as needed.
Assists visitors with the use of department facilities when needed.
Maintains office supply inventory, and prepare monthly list of office supplies needed.
Develops and maintains office forms and procedures, and assists with administrative tasks.
Other duties as assigned.
Communication proficiency. This position requires fluency in Spanish and English, both written and spoken.
Team player with medical office experience and sound judgement in urgent situations.

This position has no supervisory responsibilities.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m., with overtime as necessary.


No travel is expected for this position.

Required Education and Experience
Graduation from high school or GED equivalent.
Experience in general office practices such as typing, filing, phones, and scheduling.
Medical office experience is required.
